Remote work/work from home is very popular right now and with Microsoft Teams it is easy and very effective. But what about remote learning? There is a dedicated version for Education with predesigned components (you won’t find them in standard Teams) that allow to quickly build classes, prepare for lessons and work with assignments. That sounds great but let's go and take a look how it really works. During this session I will discuss what's unique in Teams for Educations, how to use each component to create a successful learning experience. Hello everyone, welcome on LightUp Virtual Conference
0:05
Welcome to my session. This one, yes. Microsoft Teams in Education. This is my presenter here
0:18
So this conference is focused on support for UNICEF to fight with COVID
0:30
and help others fight with that strange disease. So if you didn't before
0:38
please go and donate. You can use that QR code to go there
0:44
Big thanks to our sponsors. Without them, this conference wouldn't be possible in that really short time
0:52
We got a lot of great speakers and create Well, huge and great lineup
0:59
So let's let's go and start with teams in education. Few words about me
1:06
My name is Marcin Shevnicki. I'm from Warsaw, Poland. I work with Office 365 in ISCG company
1:14
I'm also one of the organizer of SharePoint Saturday Warsaw. And I'm focused on modern workplace Office 365
1:23
and especially in SharePoint Online and Teams. So that's why we talk today about Microsoft Teams for education
1:32
So I will talk, I will show you and describe what that, what is it, what's Team for Education
1:39
Why do we need this? Is there anything special in that edition
1:44
I will show you building blocks of this version of Teams. Then we will try to make some demos, so I will prepare some materials, creates basic structure of our class team
1:59
Then I will talk a little about communication and meetings because it's one of the most important things in education, how to communicate with students, work together, meet online
2:11
Then a few words about assignments and grades, two special modules designed for education purposes
2:19
First start from what's Teams for Education? It's dedicated version for education purposes
2:28
We have four, well, in fact, three or four templates for start
2:35
So we have template for class team. It's slightly different than normal teams
2:41
than regular teams, and it's designed for class. So we can invite students, conduct meetings, import materials, work on that materials, etc
2:55
Then we have template for PLC, so for learning community, for teachers
3:04
We have dedicated template for staff that work in schools and universities
3:11
And last one is a team template designed for other proposals like planning events, meetings with
3:21
parents and after class activities. And this one, this other template is the same as in regular teams
3:33
Okay, so building blocks. This is very important because because we see what we can, what we have and what we can use inside Teams for education
3:43
So we have Teams and Channels, the same structure like in regular Teams
3:48
So we can create Teams, Classes and some structure inside using Channels
3:55
We have also files, so a place where we can store materials for our students, works
4:04
can also work on that files, upload their own files. We have OneNote and this OneNote is slightly
4:11
different than the regular one and it's designed strictly for education purposes and has some
4:19
automations inside and very nice features I will show you later. Meetings of course
4:26
the same feature like in common teams. Assignments and grades, two dedicated modules
4:34
for education. You won't find them in classic teams. I will show you how to use them and what
4:41
you can achieve with them. And stream. Using stream we can record meetings, record classes
4:50
and or upload our education video materials for our students. Okay, so let's go and switch to
5:00
I don't have too much slides, so I only have a few slides
5:06
So now I will switch to my demo. This is, I will switch
5:14
Yes, okay. So this is first screen for Teams for Education. It looks slightly different
5:20
We have big squares with icons for each team. And if I go and try to build
5:29
a new team. I have those four templates, for class, for professional learning community
5:38
for staff and other. Today, I will focus only on class because it's
5:44
most important for our purposes and it's most advanced. So let's click class
5:55
Of course, put some name, algebra. Let's save. 5. We can add some description here
6:08
And now we can invite other teachers or students
6:19
I will invite students later because it's a good approach or good practice to create structure
6:25
and then invite students because in that approach we minimize risk of additional questions etc
6:34
So I will invite students later so I skip this step and we start with basic
6:42
class team and we have two shortcuts upload class materials and help and like in classic
6:52
a general channel. So first step is we will create a structure for our team, for our class
7:01
This is algebra, so general is a start for us. So I will add a channel, new channel
7:08
Let's say week one, because I want to divide my class for weeks
7:17
Week two. Let say week free Okay I will add also announcements
7:37
And in this channel, I will share official announcements with my students
7:42
I don't want to use general channel because there will be a lot of traffic
7:48
Each student can post something and this is channel strictly dedicated to announcements
7:54
So we will keep clean information and we will keep it clean
8:01
And then I will add three more channels. We will use them later
8:12
But we will use them as breakout rooms to break students into groups
8:22
that will allow us to moderate groups and break students into specific groups for work
8:31
for work during classes, etc. So, we have basic structure, very basic, only seven channels
8:40
You can build or create as many channels as you need to provide all the required information
8:48
for your students. Okay, so we have basic structure. And if I go to general
8:54
and we will go through tabs because we have three additional tabs compared to classic teams
9:01
We have Posts, so that's our group chat. We have files. I will make it a little bigger
9:10
So we have files and first change. Different from classic teams, we have by default class materials folder and this folder
9:23
this is with this icon, it means that this folder is read only for students
9:31
So we don't have to go to SharePoint and break permission for that folder
9:35
No, it's by default to read only for students, so only teachers can modify content in this folder
9:45
So it's very, Okay. It's very good because we don't need to do anything
9:52
We can go upload materials, upload required files, and then our students will be able to download those materials
10:01
read them, but they won't be able to modify that files. Okay. So I can go there and upload some files
10:12
And it works the same as classic teams so I can upload files and if I can create my folder structure
10:28
Upload folder, upload folders, upload multiple files at once
10:39
Then we can work on those materials, but students, they still have read-only access to this folder
10:49
But of course, I can create additional folders. And the new folder that I can create
10:59
I will be automatically read-write. So students will be able to modify content and
11:06
upload their own content to that folders. The next one is Class Notebook
11:12
This is very important part, because this is the place where we can
11:19
find this special version of OneNote. Before we go there, I will quickly switch to my slide
11:30
So this is one place for OneNote. It has dedicated template, and this OneNote starts with
11:37
predefined roles and permissions model. So that's very cool. I will show you that
11:44
We have this one node is divided from start for collaboration space for whole class
11:51
for content library when we can upload content for our class. And each student has dedicated content
12:00
dedicated section in this one node for our own purposes. You can also create additional pages
12:07
sections inside that OneNote, and we can easily distribute page or even
12:13
entire section between students. So switch back to my demo. Okay. We start without OneNote
12:24
but we've placed ready for OneNote, so I will set up this one
12:28
It's blank. and I have the start page for permissions. So I can read what's about
12:38
Next, then I have a place where I can specify starting point for students section
12:48
So handouts, class, notes, homework, quizzes, I remove quizzes and add what
13:23
So we started with prepopulated sections, collaboration space for entire class, content library, and teacher only section
13:33
So only teachers have access to that section. And it works like classic OneNote
13:40
so I can go here and create section, add pages, add content, import files, pictures
13:50
I can even use the digital ink here and draw something. But there's no sections for students because I didn't invite any student
14:04
So I will show you how it works. So I will go there and add some members
14:10
I will add Terry and maybe student and there's someone for free
14:19
And one more. Okay, for students. OK, and now it will take maybe a minute or two
14:32
They go back. OneNote or Teams will automatically add those students to Teams
14:43
Oh, and as you can see, it's automatically populated, created new sections for each student. So we have a first and second name as the name of that section
14:55
And we have those sections that I selected at the beginning So if I decided or I need to add one more student
15:07
I don't need to go there and create manually section for that student
15:11
Teams will create everything for me automatically. And as you can see, it's very, very fast
15:21
Okay, where's Terry? If I go to Terry, Terry can go there
15:29
put their own notes, read materials or share some content with me
15:33
or I can share some content or comments with Terry. Teachers here
15:44
So now, what's other options here? We have class notebook section as option for
15:51
notebook for OneNote and we have additional features here. So I can go and open some settings for manage my notebook
16:02
So modify sections for students, log or unlock dedicated link for that
16:09
OneNote, go back. But I can also distribute page. or distribute new section
16:22
How can I use that? Is it so important to that? Okay, I will go to my teacher only. Okay, I will create
16:39
a new section. classworks and I will name it classwork-run and I put some equations
16:58
OK, and I would like to share this
17:12
This simple two equations to my students so I can use that distribute page
17:20
Feature and I must I must select where this this page will be distributed
17:27
So to homeworks now, to homeworks, okay. And now teams or one note in my class team
17:43
will get this page and send it down to every student section
17:50
So if I go to my Terry to homework, So as you can see, there's classwork and this page is dedicated to her, to the student
18:02
So if I switch to Terry, this is my Terry account. I'll enlarge that one and this is algebra 5 and class notebook
18:15
As a student, I can go there and go to Terry to my own section
18:28
As you can see, I as a student, I can't see other students' sections
18:34
So this is only for me and I can see only my own section and shared section
18:41
Homework and this one classwork. Okay, so I can add some comments
18:50
modify this text, add some other text, draw something, etc. So this is a standard feature of OneNote
19:04
so I can work on that test or that questions, do something that my teacher asked me for
19:13
There's also a very cool feature, but it's only for math. If I click this, but I must select
19:23
This one. If I select an equation and click math, it allows me automatically to solve that equation
19:34
So if I want to check something, I can quickly calculate it automatically
19:44
but it's not good for test or for checking someone's knowledge. So we, as a teacher
19:53
we can block. Open. This is Terry, if I go there
20:27
It's preferred method to send some math questions of math equations, but it only works for math
20:39
So for other subjects, we don't have any automations here. But if Terry, I switch to Terry. I'm ready for that
20:57
So I cannot some comments. I'm ready then. I as a teacher because I can create a homework or classwork and send it to them to my students
21:13
for 5, 10 or 15 minutes. I can go there to my class notebook and review students work
21:20
I can go for test. There's no homework. select page that I've previously shared to them
21:33
And I can go student by student and verify if it's correct
21:42
not correct to check if they have any problems with that, questions, if I mess with questions
21:49
I can also lock all pages. to prep and any modification during my review
21:58
during after I set up a deadline. So as you can see, it's pretty easy to create classwork
22:06
homework and send it to each student using only a few clicks
22:13
using one node. So we should use one node as a global place to share knowledge
22:23
share notes draw materials some multimedia videos even and share materials with students and collaborate on those nodes because it fully interactive Each or every change is almost immediately
22:42
propagated to one node and I can see it in almost real time
22:50
And if I go to, let's say, week one, and I have also notes section here, and click that
22:57
notes, it will create week one note, so channel name, but if I go back to my general one note
23:08
so in general channel. Okay. As you can see in collaboration space
23:18
a new section has been created with one node, so it's automatically connected into one big one node
23:26
So I don't need to gather anything together, copy content between one nodes
23:33
It's all in one place and I can use search to find some content inside
23:37
So it's pretty easy, pretty powerful tool. Okay, that's for one note
23:45
but we have also other features. Quickly go to my one note
23:50
Yeah, and review students work. Assignments and grades. So those two dedicated modules for education
24:06
So this is up for assignments, so I can create and assign some tests
24:11
or quiz for my students. I can create assignments per class and share that assignments with multiple classes
24:20
And I can also check results and grade tests or quizzes and see any progress of my students in an easy way
24:34
So if I go there and then there are two sections, assignments and grades
24:39
two tabs dedicated only for education, so I must prepare some get started
24:44
Create so I can create assignment or quiz. Quiz uses Microsoft Forms
24:52
so I must prepare Microsoft Form before and attach it here. Or I can create assignment
24:58
so it's an empty space to create some. Let's say test number one
25:07
I can, Description. Please solve
25:20
And 1, 2, 3, 4, 5. I can add attachment. I can specify how many points each student can get
25:29
solving this test and say 50. Assigned 2 so I can select multiple classes
25:37
If I need, I stick with only this one. I can also, okay, just need some time to populate
25:47
but I can also specify if I want to select or assign this assignment only to specific students
25:58
if I require that. I also do dates or deadline when this assignment
26:04
must be completed. I can create another line to say 16, but there's also a
26:15
Time I'm sorry, sorry machine I just checked this. Uh, it says loading preview
26:22
We haven't done anything yet. Let me check what's what's the problem
26:28
OK OK. Thank you. I will go back for a few minutes
27:10
Okay, so we can use assignment timeline to make a schedule for our assignment. So we
27:22
can select a future date and start date and end date. So I can create multiple assignments
27:31
at the beginning of the course, of the lecture, and then schedule it for each week for dedicated
27:39
weeks, months or days. And I will stick with this one, so the manual process
27:48
Okay, and assign. And now this assignment is assigned. So we can easily
28:01
So each student can easily go to his class team and check current assignments
28:10
So let's switch to Terry and see what's happening in her. Oh, as you can see, there's a bot that sent information about new assignment
28:23
If I go there and check the assignments, I will get... I must wait a few seconds because it's
28:31
I've just already created that one. Yeah, so let's wait a few moments
28:38
Not yet, but we'll be here in a few seconds. Okay, I can also, if I'm a student
28:48
I can also go there. On my left-hand menu, there's assignment app
28:53
so I can click it and select my algebra five. Now there's still nothing here
29:01
Okay, so I use quickly switch to my. I have some older assignments
29:16
So I asked student I can get to check my assignments, add my work so I can add attachment
29:25
create some files, pictures, so that I can upload them here. Then I can turn it to my teacher
29:40
but this one is not working here. Now all paths. That's the
30:00
Maybe there's a working one. Okay. I can turn it. Then now this assignment is selected as
30:14
completed and sent to teacher. So if I go back to and look as a teacher
30:22
and that was in algebra, what freak I remember. So I can see that there's some assignment
30:33
This one not turned. I have a full list of assigned assignment
30:40
and check current status of it's turned into me so I can get and add some points or add some comment
30:58
Okay, etc. and I can just also return. And now if I return something to my student, it will get this information and can answer
31:09
any questions and concerns, additional description, etc. So I can communicate using grades with students and check their progress on current assignment
31:24
current test or quiz. Update. Now my students need to propagate so it requires some additional time
32:05
But okay. I can also check how students will be. We will see this. You can see this assignment
32:13
So there's a dedicated view for students. And now it works good. So we have..
32:24
To make it proper go quickly to algebra 5 to assignments. And yes, okay
32:33
So I can add my comments of my work here and turn it and watch that fun animation
32:43
And if I go back to my assignment as a teacher, I can see that Terry turned the assignment
32:54
back to me that assignment, I can go here and assign points
33:00
And if I go to grades, this is the order dedicated. Up for this, I can see that list of all of my assignments to that
33:14
for specific class, list of all of my students in that specific class
33:19
and points assigned to each of the students for specific assignments. I can see or check progress of my students
33:31
They can also check their own progress. So if I go back to Terry as a student
33:39
so here in grades, I can see only mine grades, only mine tests and results
33:49
So I can use those two apps, two features to work with my students
33:55
to automatically schedule assignments for them, create tests, quizzes, and then check their work and assign points
34:08
And those two features are dedicated, especially for education. Then communication, very important feature
34:17
because we have personal chat with audio and video, the same as in class teams
34:22
We have also channel chats, meetings, some typo, and meetings we can connect with students
34:32
But because we can also work or invite external users, guests, we can also invite maybe external teacher or parents
34:45
to talk together and work together with students. And yes, I also have external communication
34:52
So if I go back to Teams so we can create because we previously created channels for each week so I can go there and create anything
35:05
Yes, without any week one. thinking then i can go and invite all the students will be all automatically invited by i can go there and
35:24
invite and external users and maybe parents maybe external teachers or specific people that will
35:32
help help me with my subject and then you can i can also of course enable video
35:42
currently we have three by three matrix with cameras it should be for me it's not
35:51
available but it will be pretty soon seven by seven so it's quite large
35:57
view form of each student I can see and it will mimic the real life class with real life people
36:10
And using this meeting, I can also share my screen, sharing some information with my students. There's also a very cool feature so I can record
36:23
I can record this meeting and then I can share that meeting for students to check something
36:35
later to maybe watch it again, listen some harder topic again. So I can record all of our meetings and share that meetings with our class
36:51
I will stop it and it will help us later, this recording
36:57
And if I'm done, I can go and hang up. But there's also a very cool feature
37:06
It's not so easy. There's no automation here. There's no one button to create breakout rooms
37:12
But if I need to break students into smaller groups to work on some smaller topics during our class
37:20
so I can go there to Group 1 because we need as many channels as breakout groups
37:28
Group 1 and I can go and start. Yes, now start meeting there
37:37
Go to Group 2 and also using this camera icon, start new meeting here and go to our group 3 to the same
37:52
So click on that camera button and start meeting. So now if I go back to my team
37:58
so I can divide students into, in my case, three groups, they individually join a specific Google channel meeting
38:10
work together and I can quickly and easily switch between those groups so I can go there and click Group 2
38:21
Group 1. So if I switch to Group 1, other meetings are on hold
38:27
If I go to Group 3, 1 and 2 are on hold and I'm active only on Group 3 meetings
38:33
So it's pretty easy to configure, pretty easy and really straightforward to set
38:42
And you can use it as a breakout rooms to break students into groups, into specific works on specific smaller subjects
38:52
I will disconnect from that. Yes. Okay, and if we're here with
39:02
Our week one meeting and from my experience
39:14
Some people, some teachers prefer to connect in real life, in real time with their students
39:23
and work during the meeting, share some experience, knowledge, gather feedback, etc
39:30
And some teachers prefer to record. So pre-record, record earlier some materials
39:37
some lecture, and then post it and share it with class. So that's two approaches that we can use
39:48
Add it to share some videos. We can use Microsoft Stream If I go there so this is for recordings but also for any video that we want to share with our class or multiple classes at once
40:07
So we have this stream, this place is divided or allows us to divide our videos into channels
40:14
We can set up permissions, students can add some likes and comments to our videos
40:22
And you can also embed this stream as a new tab, as a tab inside our teams in specific chat
40:31
in specific channel. If I go back to here, so this meeting is recorded
40:39
but it's saving to stream. But if I go back and let's say here and click this plus
40:51
There's a lot of applications you can find. And Microsoft. Out of the box ready to use applications so
41:02
you can use the PowerPoint, attach PowerPoint, attach Excel file, etc. But you can also search and a third party
41:10
search for part the applications and use them. And probably focus on stream
41:15
So there's a stream up. Okay, so I must provide a channel name or a video link to get that link
41:28
I must go to my week one. Click this one. That's already, it's ready, but I can open in stream and it will open a new page
42:12
and it's the same work the same way like youtube so i can play it directly from teams so i don't
42:20
need to go somewhere else switch to different different browser different tab i can use it
42:28
directly from uh from specific to the teams uh channel but we using stream we cannot or
42:38
or allow students to add some comments, so each student is able to add some comments to video
42:48
Like or not like, but we can also create a channel. So if I go there and create channel
42:55
let's say I can add you brown five. Okay
43:04
I can add some channel image set up or it's if it's a group channel so dedicated permissions
43:15
or available for everyone. Okay, and then I can upload videos here
43:24
I prepared some channel or one channel for algebra. Yep, with one video
43:34
So I can go to my Teams spec and change it to channel
43:45
So I can connect entire channel to my Teams. And then I will be able to see entire list of my videos
43:55
from that specific channel. So it's much easier to navigate, not to create multiple tabs with a single video
44:04
but to create one tab with all videos in one place. If I click that one, it will load here
44:12
directly from team. But there's also one very great feature, if I run this and pause that video
44:25
So if I use stream to upload to store my videos, each video will automatically be scanned
44:34
and stream will create closed captions from that video. So I can, as you can see, there's a text here
44:43
If I go, okay, let's start somewhere there. there so we can we can read what the text from the video but we can also search So I can search let say algebra
45:04
But not that one. So I got a list with places where teacher
45:14
said something about algebra, let's say this one. So using search I can quickly navigate
45:20
or find information inside video. So that's very, very cool feature and it's available in English, Spanish, French
45:32
German, Japanese, so you can use it. If you find useful, you can use this feature
45:45
to help your students navigate and find information quicker and easier using it
45:51
because it's search. So we can quickly find a specific material inside
45:57
longer, even very long video. So we don't need to stream and listen
46:01
and check if it's correct place or not. We can simply use full text search
46:06
and find our information. Anything called to the top here also because
46:17
If you need to add something more, some dedicated feature or build something for you because this is
46:26
the features I've already presented. They are built into into teams for education
46:33
They ready to use out of the box. You don't need to configure anything more
46:37
create a basic notebook. But you can search or go there and find list
46:48
If you want to find anything here, you can go to maybe vendor page or dedicated page where
46:56
your third party tool is located and check or search if it's available for themes
47:03
There's also a possibility that you can create your own tab, dedicated tab or connected with your specific internal system
47:13
internal school or university system. This is also possible. But we've ended up with stream with videos
47:27
Quick recap for stream, we have we can record meetings and all records will be stored in stream automatically so we
47:36
don't need to copy anything to stream so each every recording will be sort automatically into
47:43
stream so students will be able to go there later and watch that watch that video
47:50
and you can also use that place to store our own videos create materials for our students and
47:57
upload this for later use. OK. OK, back to my slide
48:13
